BOOKING Your party leader should complete a Booking Form within 48 hours of making a telephone reservation, with all relevant details, including any special requests. This form will be taken as your acceptance of our terms and conditions. It must be signed by the party leader on behalf of the whole party. We will require a deposit of 25% of the villa hire charge. If you book less than eight weeks prior to departure, full payment will be required on booking. As part of our booking conditions all party members must take out travel insurance covering cancellation charges and emergency assistance and name it on the booking form. We reserve the right not to accept bookings from single sex groups or to charge a refundable deposit in addition to the non-refundable security deposit. Your contract with Louella Winsor Villas Ltd is made on confirmation. The balance must be paid at least 10 weeks before departure. The party leader will be responsible for payment for everyone named on the booking, even if some names were added after the original booking was made. If you do not pay the balance by the due date, we have the right to cancel your booking. If a villa has been offered at a reduced rate for under occupancy then the booking shall be for the number of persons so quoted for. Later additions to this number may be subject to an additional charge. A compulsory £9 per person (over 2 years) non refundable Accidental Damage Waiver is payable on all Louella Winsor Villas properties for UK clients to be paid with the balance. This is to cover accidental damage and breakages to the property, furniture or crockery up to the value of £100 per person. Refundable security deposits are charged for non U.K residents or to any other booking at our discretion, for example for single sex groups or where a villa contains an item of high value such as a snooker table. Maid service is provided, however, the damage waiver payment does not cover costs of extra cleaning or damage caused by wilful or negligent behaviour. For late bookings the deposit should be included with the booking form and the full villa payment. Any credit card payments will be subject to credit card charges. PAYMENT Payment is accepted by debit card, credit card (2% bank charges apply) and Instant Internet banking within 24 hours. We do not accept bank transfers. Please note that in the event of Louella Winsor Villas Ltd making a refund to you then any credit card charges paid by you shall not constitute a part of that refund. TRAVEL ARRANGEMENTS You will be sent an accommodation voucher, and the relevant maps, directions, key details and local contact numbers. It is your responsibility to report promptly at the stated times for all transport arrangements and make sure that you have all the necessary travel tickets and documents. CHANGES MADE TO YOUR HOLIDAY BY YOU Wherever possible we will help you to make alterations to your booking if these become necessary. Requests for us to make alterations to your booking after confirmation should be made in writing, signed by the party leader and accompanied by a £20 to £50 administration fee. An administration fee will also be charged for assistance with insurance claims. Name changes for flights will incur further costs, as dictated by the airline. Please note that insurance companies cannot transfer cover, and will require additional premiums in respect of new names. Cancellation of the holiday by you is covered only by your holiday insurance. CHANGES MADE TO YOUR HOLIDAY BY US In the event of unforeseen circumstances, Louella Winsor Villas Ltd is occasionally forced to cancel, alter or amend a holiday booking and reserves the right to do so. If your holiday is affected by changes we will do our best to notify you as soon as it is reasonably possible, if there is time before your departure. If accommodation has to be changed we will endeavour to provide similar accommodation of an equivalent or higher standard. If the cost of the alternative is higher, you will be asked to pay the difference. If it is lower, you will be refunded the difference. If we are not able to provide an alternative villa, you will be entitled to cancel your villa booking, when all monies paid to us in respect of the villa rental will be refunded in full and final satisfaction of all claims against us in respect of your booking. Administration charges may apply. BUILDING WORK & DISRUPTION TO SERVICES Louella Winsor Villas Ltd takes great pains to ensure that the information given in villa descriptions, directions and maps is accurate and is regularly updated. However, sometimes changes outside our control may occur during the period between preparation of our details and your holiday. There is always the possibility of development in tourist areas, and we cannot accept liability for any inconvenience caused by building works or associated noise being carried out by third parties in the vicinity of the villa you have booked. Such work is not under our control, nor do we receive advance notice of when it will begin. If we do, we will notify you as soon as possible and you will be entitled to transfer to an alternative villa at the advertised price. In some resorts the provision of roads, power and water supplies does not always keep pace with the demands of rapid tourist development, so you may experience problems with, for example plumbing or drainage. Due to climatic conditions there are occasionally water shortages in Portugal. Most villas are equipped with reserve deposits for use in the event of mains water supplies being temporarily cut off, but heavy use quickly reduces these. We strongly advise clients not to drink tap water, and suggest the use of bottled water. Drainage systems are standard Portuguese, to a septic tank. Please be aware that toilets and drains can easily become blocked as a result of unsuitable items being flushed. In the event that such a blockage occurs through guests carelessness, the cost of unblocking will be charged to the client. Louella Winsor Villas Ltd cannot be held liable for the need to relocate you to alternative accommodation if this necessity arises due to floods, fire or earthquake. Similarly, any out of pocket expenses which may result shall not be the responsibility of Louella Winsor Villas Ltd and you should ensure that your travel insurance contains adequate catastrophe cover. VILLA Villas are normally available for occupancy from 2pm on the day of arrival and should be vacated by 10am on the day of departure. This is to allow adequate time for cleaning and maintenance between lets. The accommodation provided is only for the use of clients shown on the booking form and your accommodation voucher, and subletting, sharing or assignment is prohibited. It is the duty of the party leader to ensure that his party does not cause nuisance or annoyance to the owner, or to the occupants of adjoining land, or do anything that might invalidate any insurance policies which may be effected on the property. In all villas linen, excluding beach towels, is provided. The contents of the property are solely for the use of the current occupiers, on those premises and must not be removed. All services, i.e, gas, electricity and pool maintenance are included in the price. Heating costs may be extra for winter lets. Maid service is also included, but the hours and days worked by the maid may vary from one villa to another. The villa and its facilities are used at your own risk. Neither the villa owner nor ourselves can be held responsible for death, personal injury or illness during your stay. Guests are responsible for their own property at all times during their holiday, and should ensure that none of their belongings are left in the villa on departure. We recommend that children are supervised at all times in and around the swimming pool. Guests are responsible for leaving the villa, together with all furniture and effects, clean and in good order and condition. The party leader undertakes to inform us of any damage to the accommodation or its contents caused during the holiday. Liability to pay for such damage may arise dependent on the nature and cause of such damage. As a result of recent relaxation in quarantine restrictions, we must point out that pets are not allowed in any of the properties. Television services in Portugal takes the form of satellite or analogue. Satellite will either be digital satellite or through a digibox. Digital satellite televisions will usually receive BBC, ITV channels and those received by a standard freeview box in the UK. The channels received through a digibox will be dependant on the contract. Analogue television will receive only Portuguese channels. We endeavour to provide accurate information with regards to the television services in the villas but we regret we cannot be held responsible for the availability of channels. COMPLAINTS We receive very few complaints about our holidays, but those we do are normally settled swiftly and amicably. If you have a problem or complaint, in the first instance you must contact the local management or owner, so that remedial action, where possible can be taken. If the local representative is not available, or is not able to resolve the matter, you should contact the U.K. office within 48 hours of the problem arising. In this 48 hours, working together with the local management, we will endeavour to correct any problems and we reserve the right to do so. Complaints should then be sent, in writing to the office within 2 weeks of your return. If you fail to follow this procedure, we cannot accept responsibility for any claim, as we have been deprived of the opportunity to investigate and rectify the problem.
